Terms of Service

1. About RentCore

These Terms are entered into between you and Kins Consultancy Limited, trading as RentCore (“RentCore”, “we”, “our”, “us”). RentCore is a property management platform that helps UK landlords and letting agents manage properties, tenancies, rent records, maintenance, and compliance in one place.

By creating an account or using RentCore, you agree to these Terms of Service. If you do not agree, do not use the service.

2. Eligibility

RentCore is intended for private landlords, portfolio landlords, and letting agents operating in England and Wales. You must be at least 18 years old to create an account. By registering, you confirm that the information you provide is accurate and that you have the authority to manage the properties you add to the platform.

3. Your account

You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. If you become aware of any unauthorised access, notify us immediately at help@rentcorehq.com.

You must not share your account with others or allow third parties to access the platform using your credentials.

4. Plans and billing

RentCore offers the following subscription plans:

Paid subscriptions purchased through RentCore may be billed monthly or annually in advance, according to the billing interval you choose at checkout. Payments are processed securely by Stripe. When you subscribe, you enter your payment details directly with Stripe; RentCore does not store your card number. By subscribing, you also agree to Stripe's terms of service.

Prices shown are the amount payable. VAT is not currently charged.

RentCore may change subscription prices from time to time. We will provide advance notice before an increase affects an existing subscription. Monthly price changes apply from an eligible renewal after the notice period. Annual price changes apply from the next annual renewal. Customers may cancel before a new price takes effect.

Launch prices are fixed until at least 1 August 2028. The price you subscribe at will not rise before then. Property allowances are stated per plan above. Capacity beyond the self-service packs is available under a Custom agreement.

5. Cancellation and refunds

You may cancel your paid subscription at any time through the billing portal within RentCore. On cancellation, your plan will remain active until the end of the current billing period; you will not be charged again after that date.

We do not offer partial refunds for unused portions of a billing period. If you believe a charge was made in error, contact us at help@rentcorehq.com within 14 days of the charge and we will investigate.

On downgrade to the Free plan, any properties beyond the Free plan limit will remain visible but cannot be edited until you upgrade again or reduce your property count.

6. Acceptable use

You agree not to:

• Use RentCore for any unlawful purpose or in violation of applicable landlord-tenant legislation.
• Enter false, misleading, or fraudulent property or tenancy information.
• Attempt to gain unauthorised access to other users' data or to RentCore's infrastructure.
• Reverse-engineer, decompile, or create derivative works from the platform.
• Resell or sublicence access to RentCore without our prior written consent.
• Use automated means (scraping, bots) to extract data from the platform.

We reserve the right to suspend or terminate accounts that breach these conditions without notice.

7. Your data and content

You retain ownership of all property, tenancy, and tenant data you enter into RentCore. By entering data, you grant us a limited licence to store, process, and display it solely for the purpose of providing the service to you.

You are responsible for ensuring you have the necessary consent or lawful basis to store personal data about tenants and other third parties on the platform, in accordance with UK GDPR and the Data Protection Act 2018.

On account deletion, we will delete your data in accordance with our Privacy Policy.

8. Intellectual property

RentCore and all software, design, text, and trademarks associated with it are owned by or licensed to Kins Consultancy Limited. Nothing in these terms grants you any right to use our intellectual property other than to use the platform as described here.

9. Service availability

We aim to maintain a reliable service but do not guarantee uninterrupted availability. We may carry out maintenance or updates from time to time and will try to minimise disruption. We are not liable for losses arising from downtime or service interruptions.

10. Disclaimer and limitation of liability

RentCore provides tools for property record keeping and organisation. It does not provide legal, financial, tax, or professional advice. You remain solely responsible for compliance with all applicable legislation, including landlord licensing requirements, safety regulations, and tenancy law.

To the fullest extent permitted by law, Kins Consultancy Limited's aggregate liability to you for any claim arising out of or relating to these terms or the service shall not exceed the amount you paid us in the 12 months preceding the claim.

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by English law.

11. Changes to these terms

We may update these terms from time to time. Where changes are material, we will notify you by email or by a notice within the application at least 14 days before the changes take effect. Continued use of RentCore after the effective date constitutes acceptance of the updated terms.

12. Governing law

These terms are governed by the laws of England and Wales. Any dispute arising from these terms or your use of RentCore shall be subject to the exclusive jurisdiction of the courts of England and Wales.
